If an AI assistant answers your calls, texts, or web chats, it is speaking for your business every day. Setting it up is one task. Knowing what it is actually saying is another, and it is the one most owners skip.
Why a log review beats waiting for complaints
Customers rarely tell you when a bot gave them a confusing answer. They just leave. By the time a complaint arrives, the same mistake may have happened many times.
A regular review turns quiet failures into visible ones. It also shows you what customers really ask, which is often different from what you assumed.
How to run a ten-minute review
Once a week, open a sample of recent conversations. Do not try to read everything. Read a handful from each channel, plus every conversation that ended in a handoff to a person, a complaint, or no booking.
For each one, ask a few simple questions. Was the answer correct? Was the tone right? Did it promise anything you do not offer, such as a price, an arrival time, or a guarantee? Did it hand off when it should have? Did the customer get what they came for?
Keep a running list of problems. Patterns matter more than one-off oddities.
What to do with what you find
Fix the source, not just the symptom. If the bot gave a wrong hours answer, update the reference information it draws from. If it handled an upset customer poorly, tighten the rule for when it must pass the conversation to a person. If customers keep asking something it cannot answer, add that answer or route it to a human.
Test the change with a few practice conversations before assuming it is fixed.
Privacy and access
Conversation logs contain customer names, numbers, and details. Limit who can see them, follow the retention and consent rules that apply to you, and avoid copying them into other tools without checking how those tools handle data. If you record calls, make sure you meet the disclosure requirements where your customers live.
In the US and Canada those rules vary by state and province, so check what applies to you.
What is automated and what stays human
The AI can handle the conversations, flag the ones that look unusual, and even summarize common questions. It cannot judge whether its own answers reflect your standards.
Ten minutes a week of a person reading real conversations is what keeps a helpful tool from quietly drifting into a liability.
